  • Overview

    The Recruiting Coordinator supports the hiring process from beginning to end including prescreens, interviews, schedules, information processing within human resources databases, new employee files, licensing information, background checks, open position tracking and managing the flow of hiring paperwork. Facilitates the onboarding process by communicating and following up with new hires and managers.


    • Responsible for recruiting efforts for positions, such as aides, food service and dining workers, housekeepers and maintenance workers. Coordinates the hiring process from start to finish.
    • Fosters open communication with the hiring managers, recruiters and generalists regarding candidates for onboarding and in the recruiting pipeline.
    • Conducts initial phone screens to determine if qualifications are met.
    • Interviews candidates and makes selection recommendations.
    • Ensures each hiring manager has appropriate documentation, including the application, prescreen tool and interview forms. Ensures these materials are then obtained to include in the personnel file.
    • Makes initial employment offers to potential employees. Prepares and issues offer letters along with new hire paperwork.
    • Verifies all information regarding the position, including the pay rate, are correct by referencing the union handbook, the hiring manager, HR Generalist and/or Director of Recruitment for all union and non-union positions.
    • Updates the applicant tracking database daily regarding appointments and the applicant's progress through the onboarding process. This includes health office, drug test, new employee orientation (NEO), and compliance information. Schedules appointments such as health office, drug testing, and fingerprinting.
    • Processes and reviews screening requirements such as references, health care compliance (OIG, OMIG, SAM), initial backgrounds checks, department of health criminal history record checks, education requirements and certification/license requirements.
    • Assists with criminal background checks – 8 factor investigation analysis on applicants being considered for employment and for current employees as required. Compares the information provided to the application and CHRC form. Based on information, makes an employment recommendation to the Director of Recruitment and Retention.
    • Reviews events from NYS DMV License Event Notification Service (LENS).
    • Audits human resources and payroll files for accuracy and completeness. Audits for compliance with HR policies and regulatory agency requirements.
    • Supports requests for HR information needed for government inspections and surveys.
    • Makes 30 and 90 day retention calls to current employees.
    • Participates in job fairs and recruiting events.
    • Ensures home health aide and CNA classes are formed and tracked throughout the process. Communicates to hiring managers and recruiters as needed regarding status. Ensures that all certification requirements are finalized.
    • Posts open positions to the recruitment database, on the job bid board, and communicates this information to appropriate personnel.
    • Maintains confidentiality of employee and applicant information.
    • Keeps current knowledge of applicable labor and employment laws. Ensures corporate policy/procedure and third party agency regulations are adhered to.
    • Maintains knowledge of all union contracts.
    • Backs up the front desk as needed.
    • Trains front desk staff when needed.


    • Bachelor’s degree in Human Resources or related field from an accredited college or university preferred.
    • Minimum 3 years’ experience in a Human Resource discipline (benefits, labor relations, etc.) preferred, or related office experience.
    • Interview experience preferred.
    • Knowledge of labor and employment laws.
    • Familiarity with current HR practices, labor and employment laws helpful.
