  • Overview

    The Admissions Representative Specialist provides a general point of contact for the PACE CNY Marketing and Intake Department, maintains database information on referrals and inquiries, enrollments, disenrollments, I&A status, and marketing activities. Also provides secretarial support for the Director of Marketing and Intake and Intake Specialists.


    • Provides general secretarial support to the Director of Marketing and Intake and Intake Nurses (typing, sorting mail, keeping vacation logs, mileage sheets, timesheets, reports, etc.). Receives miscellaneous phone calls and redirect as required to the Director of Marketing.
    • Maintains statistics for referrals, inquiries, enrollments, disenrollments, etc., and provides monthly summary and reports to Director of Marketing. Compiles and prepares additional reports as requested by Director of Marketing.
    • Maintains accurate demographic information in REPS database and submits reports to Director of Marketing every six months or as needed.
    • Keeps marketing budget summary information, provided monthly by Finance Department, in binder for easy reference by Director of Marketing.
    • Prepares purchase requisitions to purchase give-away items, marketing materials, and occasional advertising. Maintains adequate levels marketing materials. Provides staff with adequate marketing materials for presentations, fairs, open houses, etc. in a timely manner.
    • Updates marketing policies and procedures to be submitted to Policy & Procedures Committee, as requested. Updates marketing forms to be submitted to Forms Committee, as requested.
    • Mails information to potential participants and their families as requested, and keeps a log of mailings.
    • Submits weekly office supplies request to appropriate personnel to maintain adequate level of supplies. Uses Loretto equipment as intended to ensure maximum life; initiate maintenance requests as needed.
    • Submits changes in Onondaga County Community Resource Guide to Director of Health Information as often as appropriate.


    • Associate’s Degree or higher in business, marketing or a related field required.
    • One to two years’ experience in healthcare customer service or related setting.
    • Proven organizational, time management, and multi-tasking skills.
    • Strong customer service and interpersonal skills.
    • Valid driver’s license.
    • Proficient in MS Office and able to learn new software rapidly.
